Job Description

Duties:

  • Transcribe and enter into client files client/patient notes and letters dictated by clinical staff in a timely manner.
  • Ensure that client information is entered in the electronic or hard copy client file by sorting and filing or data entry. This may include, but is not limited to, lab reports, x-ray reports, consultation reports. Ensure client information is managed in a confidential manner, congruent with the confidentiality policy of the clinic/Health PEI.
  • Ensure patient records have appropriate supply of forms, progress notes, requisitions and labels.
  • Receive clients, schedule appointments with members of the health team, prioritize client appointments and referrals under the direction of the health care provider.
  • Keep current regarding local health services and programs in order to be able to act as initial contact with members of the community, screen telephone messages and respond to client inquiries.
  • Monitor the waiting area to ensure patients are registered at reception and queued properly to see their provider.
  • Communicate with staff, public and co-workers in a respectful and courteous manner.
  • Type and prepare for mailing - letters, medical reports and other correspondence as requested by clinical staff.
  • Receive and sort incoming mail, redirect and assemble, organize outgoing mail for its destination.
  • Maintain wait list of new consults
  • Ensure proper information for triaging new consults is available and ensure new consult triaging is documented and organized
  • Ensure that confidential information designated to be destroyed is shredded.
  • When required, request and arrange courier of in-hospital patient/client records.
  • Update and maintain statistical information.
  • Upon request, provide clients with health information.
  • Assist with photocopying and preparation of health promotion materials.
  • Assist with the training and orientation of new staff.
  • Pull patient records for clinic staff next day schedules.
  • Complete requisitions for lab tests, x-rays, etc.
  • Coordinate referrals to specialist and out of province services as directed by physicians and notify/confirm with clients.
  • Provide assistance to medical and clinical staff, as required.
  • Input, submit, and reconcile shadow billing workload data for designated clinicians at the clinic.
  • Administer paperwork for third party billing and maintain a record of payments received from third party organizations.
  • Prepare local purchase orders and purchase requisitions for the clinic manager’s signature.
  • Receive payments and issue receipts; and other duties as required.

Qualifications

Minimum Qualifications:

  • Successful completion of Grade 12 supplemented by a Medical Support Services Program, Secretarial or Office Studies Program with a specialized course in Medical Terminology.
  • Considerable experience working in an office setting, preferably obstetrics/gynecology or other specialist office or clinic Experience working with computers and relevant software programs, and Dictaphone/editscript.
  • Typing speed of 50 wpm (net of errors).
  • Excellent communication skills and demonstrated ability to deal with the public in a respectful and confidential manner.
  • Demonstration of competent multi-tasking and organizational skills and the ability to work with minimal supervision.
  • Knowledge of general and medical client filing systems is essential.
  • The ability to manage highly confidential information.
  • Ability to demonstrate proficiency working in a computerized environment that includes word processing, e-mail, entering information into an electronic file, and clinician scheduling.
  • Have a good previous work and attendance record.
  • Valid driver’s license/access to reliable transportation.

Other Qualifications:

  • Knowledge of the community and available resources is an asset.
  • Previous experience in a primary care practice or physician’s office will be considered an asset
  • Knowledge of TELUS Collaborative Health Record (EMR) is an asset.
