Job Description

The Medical Secretary II is responsible for working independently as well as in a team environment and performs a variety of administrative and clerical functions that support the smooth and efficient operation of the Psychiatry Department.

Duties:

  • Working with frequent interruptions and acting as the ‘first point of contact’ for telehealth and on-site clinics. Must have the ability to identify pertinent information and direct inquiries to the appropriate area.
  • Must use critical thinking skills to determine the best scheduling options to meet the needs of the psychiatrists and patients. 
  • Scheduling and arranging patient appointments for telehealth and on-site psychiatry department staff with the ability to prioritize urgent patient appointments under the direction of the psychiatry staff.
  • Communicating effectively with patients and/or their family members to obtain accurate information and ensure that all information is kept confidential.
  • Accurately interpret and transcribe and use a sound knowledge of medical style and grammar, reports such as history, consultations, progress notes, and discharge summaries from dictation and/or written notes from psychiatrists as well as coordinate copies of completed reports back to the referral source.
  • Interpreting physician orders to arrange appropriate appointment follow-up for patient.
  • Taking messages from clients and other professionals for prescription renewals.
  • Complete psychiatrists’ daily billing and provide psychiatrists with medicare reports outlining medicare reconciliations, payment reports, etc.
  • Composing routine correspondence including memos, letters, and emails to a variety of stakeholders including patients, family physicians, nps, specialists, and other health professionals.
  • Receiving and screening telephone calls, responding to and/or redirect inquiries, relay telephone messages, prioritize messages.
  • Receiving, screening and prioritizing incoming mail received via faxes, emails, and regular mail.
  • Maintaining an electronic filing system.
  • Electronic icore/telus chr billing, reconciliations, and third-party billing for psychiatrists.
  • Electronic appointments using telus chr.
  • Provide cross-coverage administrative support in the psychiatry department; and other duties as assigned.
  • Create patient charts when required and follow rim processes and procedures.
  • Assist with department of psychiatry intake process

Qualifications

Minimum Qualifications:

  • Successful completion of Grade 12, as well as successful completion of a recognized post-secondary Medical Secretary Program, Secretarial or Office Studies Program with a specialized course in Medical Terminology.
  • Experience working in a medical clinic setting.
  • Typing speed of 50 wpm net of error.
  • Proficiency in word processing and spreadsheets, including Microsoft Office (Word, Excel, etc.);
  • Must have excellent written and verbal communication skills. 
  • Excellent organization, problem solving, critical thinking and interpersonal skills.
  • The ability to work as part of a team.
  • Candidates must have the ability to multitask and be able to maintain a positive attitude while working in a fast-paced office. • A high proficiency with English composition.
  • Good previous work and attendance record.

Other Qualifications:

  • Knowledge of DSM-5 diagnosis codes would be an asset.
  • Working knowledge of the PEI Mental Health Act and Provincial Mental Health Services would be an asset;
  • ICORE, Cerner, e-Scription-one, CHR and Zoom Telehealth experience would be an asset.
  • Experience with telehealth psychiatry services would be an asset
  • Additional relevant education and experience will be considered an asset.
