Job Description

Administrative Assistant (Part-time/1 year contract) This contract Administrative Assistant will act as a support role responsible for the smooth daily operation of City Hall’s administrative office. This position will provide clerical and customer service support to the CAO, Mayor, and Council by managing reception duties, office logistics, and routine administrative tasks. This role will serve as a key point of contact for visitors and members of the public and plays a vital role in maintaining a professional and welcoming environment. This contract position will work from Monday to Friday from 8:30 AM – 12:30 PM (20 hours/week).

Duties include:

  • Greet guests and direct inquiries at the reception desk with courtesy and professionalism.
  • Answer and route incoming telephone calls.
  • Perform general clerical duties including typing, filing, and mail distribution (including monthly birthday certificates, preparing proclamations, etc.).
  • Pick up, sort, and deliver daily mail and internal correspondence.
  • Review and respond to inquiries and correspondence, including the “Contact Us” email inbox.
  • Support meeting logistics, including room bookings and basic preparation.
  • Maintain and update contact lists and mailing databases. 
  • Assist with light office maintenance and supply organization.
  • Maintain confidentiality of all information.
  • Support the Executive Assistant with projects and administrative tasks as needed.

Qualifications

Required Qualifications and Competencies:

  • Post-secondary education in a related field, or equivalent combination of education and relevant experience. Formal education in administration would be considered an asset.
  • Valid driver’s license with access to a reliable vehicle.
  • Strong computer and digital skills; highly organized with attention to detail.
  • Excellent written and verbal communication skills with exceptional customer service.
  • Creative thinker with strategic and practical problem-solving abilities.
  • Able to work both independently and collaboratively in a team setting.

Hours: 20 hours per week (8:30am to 12:30pm) Wage: $25.41 per hour
